Pricing Information

There are many pricing models for on-line software these days and payroll software seems to have an infinite variety. Minimum charges and extra charges and one-up charges, setup charges, multi-company charges are all pretty common, often it is hard to know what the final price will be!

At MoosePay we wanted a simple system that was easy to track and fair to our customer base.


All pay frequencies (with the exception of weekly)

So this includes the following:

  • Bi-weekly
  • Semi-Monthly
  • Monthly
  • Annual
  • and any other with 27 periods or less.

no min charge, no extra charges, no T4 charges, no charges for inactive employees, no charge for employees not in the run! That’s it!

So let’s give a couple of examples, just to make it clear…

  • You have a bi-weekly payroll with 12 employees active in the current run. Your price is 12 x 2.00 = $24.00 for the run.
  • You do a one-up special vacation pay run for 2 employees, your price is 2 x 2.00 = $4.00 for that one up vacation run.
  • You have a monthly payroll with 38 employees, but only 30 of them worked this month. Your price is 30 x 2.00 = $60.00 for the run.

Everything else is included. No charges for employees not in the run, no charges for T4s or ROEs or direct deposit files, all this included in the run charge. No charge for support or software updates either, all included!

Now for (weekly pay frequencies)

So we decided that we did not want to punish “weekly” payroll frequency customers, so we basically decided to cut the fee in half for weekly processing.

  • Weekly Pay Frequency only

As weekly pay frequency is sometimes the choice of many “smaller” businesses, we felt it would somewhat unfair to charge more for those customers. So as a result we have reduced the charge to one dollar per employee per pay run.

Again just to give you a few examples:

  • You have a weekly payroll with 12 employees active in the current run. Your price is 12 x $1.00 = $12.00 for the run.
  • You do a special (out of period) bonus run for 4 employees, your price equals 4 x $1.00 = $4.00

Everything else is included. No charge for inactive employees, no charge for direct deposit files, no charge for employee portals, no charge for ROE exports, no charge for T4s and so on.


Ok, next question… what is a “pay run” ?

If you are on say, a biweekly payroll then every two weeks you “run” your payroll. In most cases that will result in 26 pay runs in a year. MoosePay has a few steps to complete a payroll run. The last step is to update the run which then updates all the year to date accumulators for the employee(s). That “last step” triggers the end of a run.

Sometimes you might find that you want to do a special run outside of the normal pay runs. Perhaps in December you do a small bonus run for a number of employees. Again the update of year to date triggers the run charge, based on the number of employees in the run.

If you want to continue to use the product after two runs, then you must notify us and we can arrange a payment plan for you.


How does billing work?

Once you have informed us you would like to continue to use the payroll, we will setup your account. You can continue to use the free data you have already setup, so no need to re-enter anything. Billing is processed on the 1st week of the month, for the usage in the “prior” month. You will be sent an invoice with the run counts and then we will charge the credit card that you currently have on file with us.

So if today was July 5th and you did two pay runs, one on June 7th for 10 employees and one on June 21st for 11 employees, then you would get an invoice for 10×2 + 11×2 = $42.00 for the June month with a billing date of July 5th.

Note that HST (13%) will be added to the invoice.
